1. Who we are

The Cameroon Association of Palm Beach County (CAPBC) is a community association of Cameroonians and friends in South Florida. Our website is capalmbc.org. We are a volunteer organisation, currently operating as an interim committee while working toward 501(c) status.

2. What we collect, and why

We only collect what you give us. There is no account required to read the public parts of this site.

The birthday calendar

If you add yourself, or ask an officer to add you, we store your name, the month and day of your birthday, and whether you are an adult or a child. We do not ask for or store your year of birth.

You may also choose to add:

  • an email address, so we can reach you,
  • a phone number, if you want birthday messages by text,
  • a photograph.

All three are optional. Leaving them blank does not remove you from the calendar.

Consent for text messages

If you tick the box asking for birthday texts, we record that you consented, when you did, the wording you agreed to, and the IP address the consent came from. We keep that record so we can show your consent was given freely, which is a requirement for sending marketing or reminder texts in the United States.

Member and officer accounts

Officers and invited members have an account, which stores an email address and a display name. Signing in works by a link emailed to you, so there is no password for you to choose or for us to store.

Meeting records

For association meetings we record attendance, apologies, decisions taken and action items, as any organisation does. These are visible to signed-in members and officers, not to the public.

3. What is visible publicly

Please read this part. The community calendar at capalmbc.org/calendar is a public page. Names and birthday dates that appear on it, including those of children added by their parents, can be seen by anyone who visits the site, and may be indexed by search engines. If you would rather not appear there, tell us and we will remove you.

Leadership profiles on the Leaders page are also public, because they introduce the association to the community. Phone numbers, email addresses and consent records are never shown publicly.

4. Emails and text messages

Email from this site is sent through Google Workspace using our own domain. We keep a log of messages sent by the site for a short period so we can tell whether something you were expecting actually left our system.

Text messaging is set up but not currently switched on, and no text has been sent to anyone. When it is switched on, messages will come through Twilio, and you will be able to stop them at any time by replying STOP.

5. Cookies and tracking

We do not use analytics, advertising or tracking cookies. There is no Google Analytics, no advertising pixel and no third-party tracker on this site.

The cookies we do set are functional:

  • a session cookie when you sign in, so the site remembers you between pages,
  • a short-lived cookie if an administrator uses the fallback sign-in route.

Comments are switched off across the whole site, so nothing is collected that way.

6. Who else can see your information

We do not sell your information, and we do not share it with anyone for marketing. It is handled by the services that run the site:

  • Google Workspace sends our email.
  • Cloudflare sits in front of the website and filters malicious traffic.
  • Twilio will deliver text messages if and when that is switched on.
  • Our web host stores the website and its database.

We may also share information where the law requires it.

7. How long we keep things

  • Calendar and member details are kept while you are part of the community, and removed on request.
  • Email delivery logs are deleted automatically after 14 days.
  • Sign-in and security logs, which record attempts to log in and the IP address they came from, are deleted automatically after 30 days.
  • Meeting minutes are kept permanently. They are the association’s official record and organisations are expected to retain them.
  • Consent records for text messages are kept for as long as we might need to show consent was given.

8. Children

Children appear on the birthday calendar only when a parent or guardian adds them. We record a first name, a birthday date, and sometimes a photograph. We do not collect a child’s email address, phone number or year of birth, and we do not send messages to children.

If you are a parent and want your child removed or hidden, contact us and it will be done promptly, without needing a reason.

9. Your choices

  • Update your details at any time using the form on the birthday calendar page.
  • Stop text messages by replying STOP to any message, once texting is live.
  • Ask to be removed from the calendar, the mailing list, or both.
  • Ask what we hold about you, and we will tell you.

10. Contact

Questions about this policy, or requests about your information, should go to the Secretary General or any member of the executive committee. You can reach the association through the Join Us page.

This policy describes how the website works today. It is written in plain language rather than legal language, and it has not been reviewed by an attorney. Before CAPBC completes its 501(c) filing, it should be.
